Program Coordinator Position

Position Summary:

The Program Coordinator supports the planning, implementation, and evaluation of programs.  This role manages day-to-day logistics, communicates with program partners and participants, maintains accurate records, and assists with outreach and reporting while also helping to advance the organization’s mission through strong organizational, communication, and problem-solving skills. The Program Coordinator works collaboratively with various stakeholders to support organizational goals and reports to the Executive Director.

The Program Coordinator role is part of a fully virtual organization based in Ann Arbor, MI. We do not have a physical office; all employees work remotely.  Preference will be given to candidates based in Michigan due to team coordination and annual in-person events and meetings.  Some travel may be necessary to the Midwest states we serve.

Areas of Responsibility:

  • Coordinate and implement program activities, events, and communications in alignment with organizational goals and timelines. Current major events include the College Symposium and Summer Scholar Sendoff dinner in the spring, as well as the College Admissions Workshops in the fall.
  • Assist with development of program structure for College Symposium in collaboration with the Executive Director and/or planning committee.
  • Recruit speakers, including admissions officers and financial aid representatives from Joyce Ivy partner colleges and other leaders in college, and serve as their point of contact for all event related questions and preparation.
  • Serve as moderator for general Summer Scholars Program informational sessions (virtual) and work with a panel of Summer Scholar alumnae to share their experiences.
  • Oversee all logistical elements of events including space reservations, food, name tags, parking, signage, faculty gifts, needed supplies, etc.
  • Assist with the coordination of the internship program, including the identification of internship programs and partners, sharing opportunities with scholars enrolled in college/university, and tracking intern placements.
  • Implement program communications plans and messaging utilizing email and social media, including promotional messages and outreach efforts targeted at students, educators, and community-based organization leaders.
  • Support data collection, evaluation, and reporting to assess program impact and identify opportunities for improvement. Maintain a system for event registration and attendance tracking and record final number of attendees for each program.
  • Track program expenses and assist with budget monitoring.
  • Participate in the development and implementation of new initiatives as determined by the organization’s mission-driven, strategic priority areas, feedback from program participants, and relevant research in the areas of pre-college and post-secondary education, college access for first-generation and lower socio-economic students, as well as women’s equity and leadership.

 Qualifications:

  • Bachelor’s degree required.
  • 2+ years of experience in program coordination, event planning, education, non-profit management, or a related field. College leadership and internship experiences will be considered.
  • Highly organized with excellent time management skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and work independently in a fast-paced, mission-driven environment.
  • Strong interpersonal skills and a commitment to excellent customer service.
  • A collaborative, team-oriented mindset and a positive, solutions-focused attitude.
  • Understanding and commitment to women’s access to education, equity and leadership development preferred.
  • Proficient in Microsoft Office Suite, Google Workspace, and CRM or database systems; familiarity with platforms like Zoom, Eventbrite, or similar tools preferred.

Compensation and Benefits:

  • Salary range: $50,000-$55,000
  • Health care and retirement, as well as paid vacation and sick days
